Basic Function

Under the direction of an administrator or manager, coordinates and performs a variety of specialized technical and administrative duties in support of Instructional Operations; coordinates and maintains curriculum databases; serves as technical resource to faculty and administrators in preparation of curriculum proposals to ensure compliance with state and local rules, regulations, and policies; coordinates the development and publishing of the College catalog; serves as liaison between Instructional Operations and numerous state-wide intersegmental departments and institutions; provides technical support in the development and implementation of curriculum and articulation agreements.

Representative Duties

  1. Serves as campus administrator and liaison for electronic curriculum database (CMS -CurrIQunet); provides technical assistance to system users; provides training to faculty; works with vendors to request updates and changes to software; maintains course and program database; maintains user database; maintains approval workflow. E
  2. Serves as liaison to the California State Chancellor’s Office for reporting District curriculum; submits approved courses and revisions to the Chancellor’s Office; prepares program narratives for submission to the Chancellor’s Office; maintains course and program master file with the California Community Colleges Chancellor’s Office (CCCCO). E
  3. Updates and maintains all course and program data in the District’s database (Banner) system; updates new and revised courses and programs; calculates faculty load; creates new divisions and departments; links courses for scheduling purposes; loads and maintains prerequisites, corequisites, and test scores; updates degree attributes for student transcripts. E
  4. Serves as an editor for the College Catalog; coordinates preparation of new and updated courses and programs for inclusion in the catalog; ensures degrees and certificates, course additions and deletions, course numbers, titles, units, and hours are reflected accurately. E
  5. Serves as the liaison and technical resource to the Curriculum Committee for credit and noncredit courses, certificates, local degrees, transfer degrees, and Articulation Agreements; prepares and distributes Curriculum Committee agendas and minutes, attends all Curriculum Committee meetings; takes, transcribes, and distributes meeting minutes to committee members, as appropriate. E
  6. Establishes and maintains curriculum and articulation files and other related documents in accordance with established policies, procedures, laws, and codes. E
  7. Works closely with Information Technology (IT) on reporting and editing State Management Information Systems (MIS) syntactical and referential data; maintains all CB (course inventory) entries by ensuring Banner and Chancellor’s Office inventory are accurately reported. E
  8. Assists the Curriculum Committee Chair in coordinating District curriculum processes, timelines, and deadlines; maintains the accuracy and integrity of the District curriculum records of instructional programs and course documents. E
  9. Assists in the facilitation of curriculum and articulation activities with California State University (CSU)s, University of California (UCs) and Independent Colleges and Universities including proposals for new or revised courses; assists in determining if review of course outline by receiving institution is needed; reviews current agreements for currency and accuracy. E
  10. Disseminates pertinent and updated curriculum and articulation agreements to appropriate individuals campus wide. E
  11. Initiates and maintains curriculum and articulation data (electronic and manual) for campus faculty, administration, and students in compliance with state-wide regulations; operates a computer terminal and utilizes specific software programs and applications to input, delete, retrieve, and verify data; maintains records and files, and generates reports, lists, and other materials. E
  12. Monitors and maintains the District course numbering system. E
  13. Ensures that Board Agenda items and supporting documents are developed, prepared, and forwarded within college timelines and legal guidelines. E
  14. Tracks and maintains electronic databases of all curriculum and articulation agreements in accordance with established policies, procedures, laws, and codes. E
  15. Maintains curriculum and articulation records statewide by updating new course outlines to the statewide computerized database (ASSIST); submits for CSU GE, UCTCA, and IGETC approvals. E
  16. Assists in reviewing courses going through the curriculum process for impact on articulation; maintains a course database to track curriculum changes and articulation impacts. E
  17. Prepares catalog addendum and distributes to appropriate faculty and staff. E
  18. Researches, analyzes, and evaluates a wide variety of issues, data, recommendations, and alternatives; uses independent judgement to develop and provide recommendations, suggestions, or information, as appropriate. E
  19. Prepares an annual summary of all curriculum additions, deletions, and changes; distributes to all CCC, CSU, and UC campuses. E
  20. Trains and provides work direction to student assistants, student workers, short-term, temporary staff, and others as assigned. E
  21. Attends meetings, workshops, and conferences as needed. E
  22. Performs a variety of support functions such as composing correspondence independently, distribution of catalogs, and generates ad hoc queries/reports. E
  23. Performs a variety of clerical and administrative responsibilities in support of the department’s day-to-day activities and/or operations utilizing a variety of communication modalities including but not limited to answers and responds to phone calls, emails, text messages, and chat platforms; opens, screens, and distributes mail and correspondence; photocopies documents and requests duplication services; ensures maintenance and repairs of assigned work areas, facilities, or equipment; enters various requests for services from IT, Facilities, and Maintenance; contacts vendors for equipment service, when needed; follows-up with vendors to ensure satisfactory completion of requests; may perform simple repairs or maintenance to standard office equipment. E
  24. Performs related duties that support the overall objective of the position.

Knowledge and Abilities

  • Perform clerical duties such as filing, duplicating, typing and maintaining records.
  • Type at an acceptable rate of speed based on requirement of position.

Education and Experience

  • Associate degree with major college coursework in academic support or related discipline; AND
  • Two (2) years increasingly responsible specialized experience involving frequent public contact in a detail-oriented area or program.
  • Or, any combination of education and experience which would provide the required qualifications for the position.

Foreign Degrees

Any degree from a country other than the United States, including Canada and Great Britain, must be evaluated by an Evaluation Service prior to the closing date. Certification must be attached with copies of transcripts.

License Certificates/Credentials

  • Possession of, or ability to obtain, a valid driver license.
  • May be required to travel for various off-site meetings, trainings, conferences, and or events in support of the overall objective of the position.

Desired Qualifications

Bachelor’s degree in a related discipline.

Physical Demands
While performing the duties of this job, employees are regularly required to sit or stand for extended periods of time; talk or hear, in person and by telephone; use hands repetitively to finger, handle, feel, operate personal computers and other standard office equipment; and reach with hands and arms. 

Specific vision abilities required by this job include close vision, use of both eyes, ability to distinguish basic shades and colors and the ability to adjust focus.
