GENERAL STATEMENT OF RESPONSIBILITIES:

The primary responsibility of this role is to provide administrative support to the Director of Nursing Education in conjunction with other functions of the Office as required. The ability to interpret and respond to varying situations and inquiries and to provide the appropriate assistance and/or recommendation for the public, College community, and office unit is essential. The ability to be self-directed and to demonstrate attention to detail are required in day-to-day office operations. The responsibilities of this role require an in-person (on campus) work schedule.

EXAMPLES OF DUTIES:

  • Provides administrative support to the Director of Nursing Education, including preparing correspondence, calendar management, scheduling of appointments, meetings, and events for the Director; attends meetings as requested, and provides follow-up meeting notes and minutes.
  • Responsible for general day-to-day office administration and supervision.
  • Develops working plan in conjunction with the Director of Nursing Education to accomplish projects.
  • Maintains confidentiality of student records and information in accordance with FERPA regulations.
  • Assists in the preparation and distribution of the Nursing Program Student Handbook.
  • Assists in the preparation and distribution of Nursing Program reports and surveys to program licensor (BORN), program accreditor (ACEN), program professional affiliation (NLN), and other such organizations as required by the Program and College.
  • Schedules, organizes and attends Nursing Program meetings and Advisory Board meetings; records, transcribes, and distributes meeting minutes.
  • Maintains copies and renewal schedules of affiliation agreements with clinical sites.
  • Confers with College staff and faculty in order to exchange information, coordinate efforts, and obtain information concerning College programs and activities.
  • Maintains statistics records for Nursing Program and reports out as needed by Director.
  • Controls and maintains department physical and digital files, records, reports, and correspondences.
  • Communicates with key personnel to maintain and update Nursing Program web pages and assists in the communication of relevant program information for the general public.
  • Monitors and communicates with students regarding documents for program eligibility (i.e. CORI/SORI, Immunizations) in conjunction with other college departments.
  • Schedules program required, randomized drug tests for nursing students.
  • Communicates with external stakeholders (clinical sites and other partner organization) regarding relevant program logistics, including student eligibility for participation in off-site instruction.
  • Prepares and maintains records of travel forms, purchase requisitions, and reimbursement forms, orders materials and supplies, and maintains budgets.
  • Utilizes official College technology and software, such as Jenzabar, InfoMaker, Microsoft Office Suite, and 25Live for the purpose of obtaining information, preparing correspondence, data entry, etc.
  • Other duties as assigned.

Job Requirements:


MINIMUM QUALIFICATIONS:

1. Three years of full-time or equivalent part-time experience in office management, office administration, business administration or business management, or any equivalent combination of the required experience and the following substitutions:

  • Associate or higher degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required experience.*
  • Associate or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*
  • Education toward such a degree will be prorated based on the proportion of the requirements actually completed. NOTE: Educational substitutions will only be permitted for a maximum of two years of the required experience.

2. Strong interpersonal and communication skills to work effectively with a diverse population of students, administrators, faculty and the general public.
3. Ability to exercise discretion in handling confidential information.
4. Knowledge of FERPA regulations and College policies and procedures or the ability to read and interpret such.
5. High level of organizational and communication skills, flexibility, and the ability to work under pressure to meet deadlines with attention to detail and accuracy and handle multiple tasks simultaneously.
6. Knowledge of Windows-based software and PC functions.
7. Advanced experience with Microsoft Word, Excel, and PowerPoint, or equivalents.
8. Advanced experience with desktop publishing products such as Adobe Acrobat Pro DC.
9. Experience with videoconferencing platforms such as Zoom, Microsoft Teams, or a similar system.
10. Experience accessing data and running queries using the Student Information System.
11. Experience with Jenzabar or similar student enterprise system.

ADDITIONAL PREFERRED QUALIFICATIONS:

1. Bachelor's degree.
2. Experience in a fast-paced, health care or health sciences office environment.
3. Experience working in a community college setting.
4. Preference will be given to candidates who have experience, an appreciation for, and a commitment to, working in a global, multicultural academic setting.

Additional Information:


COMPENSATION
: $1,100.45/week ($57,223 annual); 37.5 hours/week (Grade 17, Step I). Full time, AFSCME Unit Position. Candidates may qualify for placement above entry-level salary if currently employed in the State system. A copy of the full State Classification Specification for Administrative Assistant II is available in the Office of Human Resources, or at Massachusetts Department of Higher Education website (www.mass.edu). Includes participation in a comprehensive employee benefits program including membership in the Massachusetts State Employees' Retirement System.
